Privacy Notice

1. Who we are

CoachingOrient is operated by Proteksel Consulting Ltd., trading as CoachingOrient. We are the data controller for personal data we collect about you in connection with the Service.

2. Personal data we collect

• Account data name, email address, password hash, profile details you provide;
• Coaching content scenarios, prompts, notes and other content you submit to obtain AI guidance;
• Support and communications messages you send us, feedback, contact form submissions;
• Usage and telemetry pages visited, features used, timestamps, error logs;
• Device and connection data IP address, browser type, device identifiers;
• Billing identifiers we do not store full payment card details — payment information is collected and processed by Paddle (see below).

3. How we use your data and our legal basis

• Provide the Service (contract performance) creating your account, generating AI guidance, delivering features;
• Customer support (contract / legitimate interest) responding to questions and complaints;
• Security and fraud prevention (legitimate interest / legal obligation) protecting accounts and the Service;
• Service improvement (legitimate interest) understanding usage and improving features. We do not use the content of your coaching scenarios to train third-party AI models;
• Billing and tax compliance (contract / legal obligation) carried out by Paddle as Merchant of Record;
• Transactional emails (contract) account, billing and trial-related notifications;
• Marketing (consent) only where you have opted in; you can unsubscribe at any time.

4. Who we share data with

• Paddle.com our Merchant of Record, for payments, subscription management, invoicing and tax compliance;
• Service providers and subprocessors hosting, database, email delivery, error monitoring, and AI model providers used to generate guidance;
• Professional advisers legal, accounting and tax advisers, where necessary;
• Authorities where required by law or to protect our rights.

We do not sell your personal data.

5. International transfers

Some of our service providers are located outside the UK and EEA. Where data is transferred internationally we rely on appropriate safeguards such as the UK International Data Transfer Agreement, EU Standard Contractual Clauses or adequacy decisions.

6. Retention

We keep account data for as long as your account is active and for a reasonable period afterwards to handle disputes, comply with legal obligations and enforce our agreements. Coaching content you create can be deleted by you at any time and is removed from active systems when you delete your account; backups are cleared on a rolling schedule.

7. Your rights

Subject to applicable law (UK GDPR / EU GDPR where relevant), you have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• request erasure of your data;
• restrict or object to certain processing;
• data portability;
• withdraw consent at any time where processing is based on consent;
• complain to a supervisory authority (in the UK, the Information Commissioner's Office at ico.org.uk).

8. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, audit logging and least-privilege administration. No system is perfectly secure; if we become aware of a personal data breach affecting you we will notify you in line with our legal obligations.

9. Cookies

We use a small number of essential cookies required to operate the Service (for example, to keep you signed in). We do not currently use third-party advertising cookies. If we introduce analytics or marketing cookies in future, we will update this notice and, where required, request your consent.

10. Changes

We may update this notice from time to time. Material changes will be notified by email or in-product.
